Yekta Safiran Tous — Payroll, Social Insurance & Administrative Operations

Excel · VBA/Macros · Payroll Processing · Social Insurance · Administrative Operations · Corporate Identity

An early professional operations project from approximately 2012–2014, covering payroll preparation, employee records, social-insurance submission workflows, Excel-based calculation automation, and complete visual identity work for Yekta Safiran Tous, a company managing approximately 15 typists working at a shrine complex.

1. Project Overview

Yekta Safiran Tous was a small company responsible for managing approximately 15 typists working on-site at a shrine complex.

My role combined two very different areas:

  1. Administrative / payroll operations
  2. Corporate visual identity

On the operational side, I handled payroll calculations in Excel, prepared employee data according to the salary scale provided by the company, used the official Social Security software, and supported the administrative workflow required to register employee insurance information.

On the visual side, I designed the company’s:

  • logo,
  • emblem,
  • stationery,
  • and other corporate materials.

2. Period

Approximate period:

2012–2014

The work continued for approximately two years.

3. Operational Context

At the time, the social-insurance workflow was not fully web-based.

Employee salary and insurance information had to be prepared locally using the official Social Security software before being submitted through the available administrative process.

The workflow was therefore more manual than modern online payroll systems.

4. Payroll Workflow

The monthly workflow was broadly:

Employee Data
      ↓
Salary Scale / Rules
      ↓
Excel Payroll Calculation
      ↓
Review / Adjustments
      ↓
Social Security Software
      ↓
Insurance Submission Process

The Excel workbook acted as the primary calculation layer.

5. Excel-Based Payroll Model

Payroll was calculated according to a predefined salary scale supplied by the company.

The spreadsheet included payroll-related fields such as:

  • salary,
  • housing allowance,
  • food allowance / benefit,
  • bonus,
  • annual or seasonal payments,
  • seniority-related values,
  • base seniority,
  • other benefits,
  • overtime,
  • insurance,
  • tax,
  • account-related information,
  • total compensation.

The exact historical field names varied based on the official payroll format.

6. Payroll Calculation

The process was not arbitrary.

Calculations followed the rules and salary scale supplied by the company.

This meant the spreadsheet needed to consistently apply the same logic across all employees.

7. Excel Automation

To reduce repetitive manual work, I used:

  • Excel formulas,
  • structured payroll sheets,
  • and VBA/macros.

The goal was not to build a standalone payroll application.

The goal was to make the existing payroll process faster and less error-prone.

8. Macro-Assisted Workflow

A simplified model:

Employee Inputs
      ↓
Excel Formulas
      ↓
Macro-Assisted Processing
      ↓
Calculated Payroll Fields
      ↓
Insurance Data Preparation

This reduced repetitive manual data entry.

9. Social Insurance Processing

After payroll preparation, employee compensation information was entered into the official Social Security software.

The software was used to prepare the insurance records required for submission.

This was an operational use of the official system; I did not develop the Social Security software itself.

10. Historical Social Insurance Workflow

At that time, the process still involved local software and administrative submission rather than the fully online experience that became more common later.

The work therefore required:

  • accurate payroll data,
  • correct employee records,
  • correct insurance-related amounts,
  • and proper monthly preparation.

11. Employee Scope

The company managed approximately:

15 employees / typists

The payroll workbook and insurance workflow covered this group.

12. Personnel Administration

I also handled parts of the employee administration process.

This included, to a limited extent:

  • employee records,
  • payroll-related information,
  • insurance information,
  • and supporting personnel documentation.

The project should not be described as a full HRIS.

13. Corporate Identity

In addition to operations, I designed the company’s visual identity.

This included:

  • company logo,
  • emblem,
  • stationery,
  • letterhead,
  • and related corporate materials.

This made the project unusual because it combined administrative operations with branding work.

14. Logo Design

The visual identity used a formal institutional style appropriate for a company working in an administrative environment.

The supplied artwork shows:

  • a black shrine/minaret-inspired emblem,
  • a decorative circular composition,
  • and a separate colorful book-style identity element.

The exact usage of each mark should be described according to surviving originals.

15. Full Design Ownership

The visual materials were created by me.

This included the broader corporate identity rather than only one isolated logo file.

16. Why the Project Matters

This project is not important because of software complexity.

Its value is that it demonstrates early experience with:

  • real payroll operations,
  • employee data,
  • insurance processing,
  • Excel automation,
  • administrative discipline,
  • and end-to-end business support.

17. Practical Business Operations

The work connected several business functions:

Employees
   ↓
Payroll
   ↓
Insurance
   ↓
Accounting
   ↓
Administrative Records

This gave me direct exposure to business processes behind software systems.

18. Technology Stack

Confirmed tools:

  • Microsoft Excel
  • VBA / macros
  • official Social Security payroll/insurance software
  • graphic design tools for branding

The exact versions are not currently documented.

19. Ownership Boundary

Safe to claim:

  • payroll spreadsheet design,
  • Excel calculations,
  • macro automation,
  • payroll preparation,
  • use of official Social Security software,
  • support for employee records,
  • company branding and stationery.

Do not claim:

  • development of the Social Security software,
  • full HR management platform,
  • custom accounting software,
  • enterprise payroll software.

Also designed the company’s logo, stationery, and corporate visual identity.

29. Short CV Entry

Automated payroll calculations in Excel/VBA and handled social-insurance preparation for ~15 employees, alongside corporate identity and administrative design.

30. Interview Story — Situation

A small company was responsible for approximately 15 typists and needed reliable monthly payroll and insurance preparation.

The workflow was still largely local/manual.

31. Interview Story — Task

Prepare payroll consistently according to the supplied salary scale and generate the data required by the official Social Security process.

32. Interview Story — Action

I built the payroll calculation workflow in Excel, used formulas and macros to reduce repetitive work, calculated payroll components according to the supplied scale, and prepared the employee data for the official insurance software.

I also handled parts of the personnel administration and designed the company’s visual identity.

33. Interview Story — Result

The company had a repeatable monthly payroll process for its employees and a consistent administrative/visual identity.

34. Technical Interview Version

“This was an early operational project rather than a software product. The company managed around 15 typists. I received the salary scale and built the payroll workflow in Excel, including formulas and macros for repetitive calculations. The spreadsheet covered salary components such as base pay, housing, benefits, overtime, insurance and tax. I then prepared the required data in the official Social Security software for the insurance process. I also designed the company’s logo, letterhead and other corporate materials.”

35. Why Excel Was Appropriate

At this scale, building a custom payroll application would have been unnecessary.

Excel provided:

  • transparent formulas,
  • editable rules,
  • fast iteration,
  • and easy review.

Macros then reduced repetitive tasks.

This was a pragmatic solution for the business size.

36. Process Automation Lesson

The project demonstrates a recurring principle:

Automate the repetitive layer without rebuilding the entire ecosystem.

Instead of replacing the official insurance system:

Excel Automation
      ↓
Official Software
      ↓
Administrative Submission

This reduced effort while preserving compatibility with the required process.

37. Data Sensitivity

The project involved employee financial and administrative information.

A public portfolio should never expose:

  • employee names,
  • account numbers,
  • national identifiers,
  • payroll amounts,
  • or private records.

Screenshots should therefore be anonymized if ever published.
